A Smooth IT Provider Change Starts With the Handover

AI conversations with business owners have changed quickly. A year ago, the question was whether the technology was useful. Today, the question is often how many licences to buy. We like that shift. It means owners are thinking about practical use rather than demonstrations. There is one part of the conversation worth including early: who already has access to what? Microsoft explains that Copilot works within the permissions already present in Microsoft 365. In plain terms, Copilot works with the access controls already in place. That makes the rollout a useful opportunity to review older SharePoint permissions, broad Teams memberships and sharing links before staff begin asking questions across business information. Microsoft’s current security guidance is worth reading: Security for Microsoft 365 Copilot The Australian Signals Directorate has also published small-business guidance on cloud-based AI. It identifies data leakage, privacy breaches, unreliable or manipulated outputs and supply-chain exposure among the risks businesses need to consider. Read the ASD guidance for small businesses using AI This is how we set Copilot up for success It is an argument for treating an AI rollout as a business information project, not a software installation. We want clients to use AI. We also want the rollout to improve the way information is handled and give staff confidence that access remains appropriate. Three questions we would ask before expanding the rollout Where does sensitive client, employee or financial information live? The location matters because protection and access differ across mailboxes, Teams, SharePoint, OneDrive and line-of-business systems. Which access decisions would benefit from a fresh review? Growth, staff movement and contractor access all change the original context, so a scheduled review is worthwhile. Who owns the AI operating rules? Licences are only one part of adoption. The business also needs agreed use cases, information boundaries and a clear path for questions. Our view is that the best AI projects often begin with work the business already needed to do. Review access, agree on useful business outcomes and then expand with confidence. If Copilot is on the agenda, we will help you prepare the Microsoft 365 environment and shape a rollout around real business use, clear governance and a positive staff experience.
