This month, one of our team conversations involved a domain account that nobody could readily access. 

The website existed. Email was operating. The domain was registered. From the outside, nothing looked wrong. 

Then responsibility needed to move. 

That is when clear ownership and a well-managed handover become valuable. 


The handover is not a folder of passwords 

A proper transition involves more than administrator credentials. Domains, DNS, Microsoft 365, backups, endpoint security, firewalls, monitoring, licences and vendor portals all have their own ownership and timing. 

Some services transfer. Some must be cancelled and recreated. Some remain tied to the former provider until a vendor approves the change. Devices still need protection while one platform is removed and another takes over. 

Clients rarely see this work, which is a good thing. A smooth transition should feel uneventful. The opportunity is to coordinate the providers, vendors and dates so the business experiences a smooth change. 


What we have learned from doing this work 

The best handovers begin with accountability. One person on each side needs to own the transition. Every service needs a status, an owner and a planned change date. Critical access should be tested before the outgoing arrangement ends. 

We also think businesses should know who legally or commercially controls their domain names, cloud tenancy and core subscriptions. Those items are easier to manage when ownership is understood before the relationship with a supplier changes. 

This is about sound governance. A business should be able to change providers while retaining clear control of the systems it paid for. 


A quiet transition is the result of active management 

When we take over an environment, we coordinate the outgoing provider, vendors and client stakeholders. We sequence the work so protection remains in place and the business keeps operating. We document what moved, what was rebuilt and what still needs attention.
